How do you explain your duty to report?
This will vary based on the situation, the individual, and your communication style. Here is one example:
“I really appreciate you sharing this with me, and I want to help you. I need to let you know, though, that as an employee at Viterbo, I have an obligation to report any incidents involving things like sex- or gender-based discrimination, harassment, or violence when I become aware of them. We have this policy so we can support people like you who are going through some challenges, so we can help you figure out your options. I want you to know that, while I cannot keep what you’ve told me confidential, I can keep it private. I’m only telling the people I need to tell, and they only share the information with other people who need to know. Only a very limited group of people will know. Does that make sense? I want to help you and I appreciate you sharing this information with me, but I want to be transparent with you”
If they stopped sharing with you, you will still need to report whatever they told you.
Do I need to report information that I hear if it is second-hand, perhaps a rumor, vague information? What if one of the parties is not a member of our Viterbo community? What if the incident took place off-campus?
When in doubt, report. Any information can be helpful as we strive for the safety and security of all of our Viterbo community members.
How do I fulfill my obligation to report within Viterbo University?
- Report without delay to the appropriate office or individual.
- Provide all known information.
- Provide your identity and contact information.

What happens after I file a report?
The Title IX Coordinator will review the information and may reach out for further details. The Title IX Coordinator will reach out to the person affected to review options and be provided supportive measures, as appropriate.
Will I be updated on what happens based on my report?
No. Your report and follow-up steps are kept confidential to respect the privacy of any parties that may be involved. Expect limited follow-up. Trust that outreach happens, and appropriate actions are taken.
